ERP pricing: what a licence per user really costs, and the alternative

Most ERPs charge for every person who logs in, then add implementation, hosting and changes on top. Here is how those bills are built, and what it looks like when users are free and you pay for what the system uses.

Where the ERP budget goes

The licence is the line everyone compares. It is rarely the biggest one.

The licence grows with every hire

Per-user pricing looks small for the first five people. At twenty it is a real monthly cost, and it keeps growing with people who only log in to check one screen.

Implementation is a second bill

Packaged ERPs are set up by a partner or a consultant. In the first year that project often costs several times the licence, and it is billed separately.

Every change is another quote

A new field, a new report or a different approval step is a customisation. It gets scoped, priced and scheduled, and the next upgrade can break it.

You pay for modules you do not use

Plans bundle what most companies need. You end up paying for half a system to use the part that fits, and building the rest in spreadsheets anyway.

How ERP pricing is usually built

Per-user subscription: a monthly fee for each person with a login, often by tier or by module. It is the most common model for cloud ERPs, and the one that makes the bill grow with the team rather than with the work.

Licence plus maintenance: a licence bought once or for a year, with a yearly maintenance fee on top. Common in on-premise and mid-market systems, usually quoted rather than published.

Open source plus a partner: the software is free or cheap, and what you pay is the people who install, adapt and maintain it.

Pay as you go: you pay for what the system consumes. In Gufi that is the hours your database is on, the GB it stores and the GB that leave it, while users cost nothing. Your AI builds the system, so there is no implementation project to pay for.

How much does an ERP cost a small business?

On per-user plans, multiply the price per user by everyone who needs access, then add implementation, which is usually the larger number in year one. On quoted systems, ask for the licence, each module, each user and the implementation in writing before comparing.

With pay as you go, the question changes: how many hours a day does your company work in the system, and how much data does it keep? A small team during office hours is in the example below, calculated with today's prices.

How it gets built

Your AI does the building. Gufi is where it lives: the database, the apps, the automations and the people who use them.

  1. 1

Create your company in Gufi. It gets its own database, separate from every other company. The trial needs no card.

  2. 2

    Connect your AI

Add Gufi as a connector in Claude or ChatGPT. It is one address to paste; the Connect AI screen in Gufi walks you through it.

  3. 3

    Describe how you work

Say what you sell, what you buy, what you hold and who does what. Your AI creates the tables, the screens and the automations, and you see each one appear in Gufi.

  4. 4

    Bring your team

Invite everyone who needs it, each with a role that shows them only their part. Adding people does not add a licence.

Per-user licences, compared

Most ERPs charge for every person who logs in. That is easy to read and expensive to grow: the bill goes up with each hire, whether that person enters ten records a day or one a month.

  • Odoo

    Per user, per month

Standard is listed at €14.90 to €18.60 per user per month and Custom at €27.90 to €33.90. Implementation and Odoo.sh hosting are not included.

  • Oracle NetSuite

Yearly licence plus a fee per user

Prices are not published. You get a quote for the base licence, each user and each module, signed for a year.

  • Holded

    Plans by number of users

Because a person who logs in costs almost nothing to run. What costs is the database working and the data it stores, so that is what you pay for. You can give access to the whole team, including people who only check one screen a week.
